1. Scope and legal identity
This notice describes how iCare EVV LLC handles information through the public website, iCare applications, support interactions, and related services.

2. Information we handle
Information may include names, business and contact details, account credentials, organization and role information, service and support content, device and session information, security events, and product usage information.
Configured tenant workflows may contain client, caregiver, scheduling, EVV, location, visit, documentation, communication, billing-readiness, payroll-readiness, and compliance information. Some of this information may be PHI when HIPAA applies.
Customers determine what authorized users submit to tenant workspaces. Public forms, ordinary email, and public voicemail must not be used to send PHI, medical records, or sensitive client information unless an approved secure method is provided.
3. Sources of information
Information may come from you, your organization, authorized users, configured integrations, devices used to access the service, and service providers supporting contracted operations.
4. Why information is used
Information may be used to provide and secure the service, authenticate users, support workflows, respond to requests, maintain records, troubleshoot, improve reliability, meet contractual obligations, prevent misuse, and comply with applicable law.
5. Cookies and analytics
The website uses essential storage for sessions, security, and user-requested preferences. First-party marketing analytics and Web Vitals activate only after an explicit analytics choice. Analytics must not contain names, email addresses, telephone numbers, form notes, PHI, tenant identifiers, URL fragments, or identifying query parameters.
6. Service providers and disclosures
Information may be shared with service providers that support hosting, security, communications, customer support, and contracted platform operations, subject to appropriate terms. Information may also be disclosed when required by law or to protect users, the service, or legal rights. A production notice should identify or link to approved subprocessors where required.
7. Retention and security
Information is retained for the service purpose, customer configuration, contractual obligations, security and audit needs, and applicable law, then deleted, anonymized, or returned as appropriate. Customer-workspace retention and post-termination handling may be governed by the customer agreement or BAA. No system can promise absolute security.
8. Privacy choices and rights
Depending on location and relationship, individuals may have rights to request access, correction, deletion, restriction, or information about processing. Requests concerning iCare’s own website and business records can be sent to support@icareevv.com. Identity and authority may need to be verified.
Requests concerning care records controlled by a home-care agency should normally be directed to that agency. iCare may assist the customer as required by contract, law, or an applicable BAA.
9. Children’s privacy
The public website and business services are not directed to children for independent use. Any information about a minor used in an authorized care workflow must be handled by the responsible organization under applicable law and agreement.
10. Location-specific and international processing
State privacy rights and international requirements depend on where services are offered and where individuals are located. iCare will evaluate additional notices, transfer terms, and request procedures before expanding a service into a jurisdiction that requires them.
